Why Nivona maintenance is essential
Nivona CafeRomatica automatic coffee machines are precision appliances in which dozens of mechanical, hydraulic and electronic parts work together. Regular maintenance is not optional — it is what keeps the machine running reliably for years and preserves the full aroma of the coffee. Skipping care leads to serious problems: limescale in the thermoblock lowers the brewing temperature and lengthens the heat-up time, a dirty brew unit causes Error 8 (the most common Nivona fault), and milk residue in the Spumatore system becomes a breeding ground for bacteria and mold.
From our experience at the AGD Group workshop, more than 60% of Nivona repairs involve faults that regular maintenance would have prevented. Repairing a neglected machine is a substantial expense, while a year of care (cleaners plus a filter) costs only 150-200 PLN. Below is a complete Nivona care schedule, from daily tasks to the annual service inspection.
Daily Nivona coffee machine care
Daily tasks take literally 2-3 minutes and have a major effect on hygiene and the life of the machine:
- Emptying the drip tray and the grounds container — do not wait for the machine to report a full container. Coffee grounds ferment quickly, producing an unpleasant smell and mold. Wash the drip tray every day with warm water and dish soap.
- Rinsing the milk system after every use — if you use the Spumatore system or a milk spout, start the milk rinse program immediately after frothing. On NICR 7xx, 8xx and 9xx models, press the "Clean" button on the spout. Leaving milk residue in the tubes for a few hours clogs the milk lines and lets bacteria grow.
- Refilling with fresh, filtered water — do not top up old water. Once a day, empty the tank, rinse it and fill it with fresh water. Standing water loses oxygen and changes the taste of the coffee. If you use a Claris filter, check that it is seated correctly.
- Wiping the coffee spout — coffee residue and coffee oils settle on the spout outlets. Wipe them with a damp cloth to prevent blockages and keep the drink looking clean.
Weekly cleaning — the brew unit
The brew unit (Brüheinheit) is the heart of every Nivona coffee machine and needs regular care. Error 8 on Nivona CafeRomatica machines most often appears because the brew unit has not been cleaned.
Step by step — washing the Nivona brew unit:
- Switch the machine off with the power button (do not unplug it).
- Open the service door on the right-hand side of the machine.
- Press the red lock button and pull the brew unit toward you — it should come out freely. If you feel resistance, do not force it. That means the brew unit is not in the removal position. Switch the machine on and off again.
- Wash the brew unit under lukewarm running water — do not put it in the dishwasher! High heat and detergents warp the plastic parts and destroy the seals. Use a soft brush (an old toothbrush works very well) and remove grounds from the sieve and the guides.
- Check the piston seal — the round rubber seal on the brew unit piston must be flexible and clean. If it has hardened or cracked, it needs replacing (part cost: about 15-25 PLN).
- Lubricate the guides with food-grade silicone — apply a thin layer to the side guides of the brew unit. Nivona recommends NISM 001 silicone grease or a universal food-grade grease. Avoid vegetable oils and petroleum jelly — they go rancid and make the mechanism work worse.
- Clean the inside of the chamber in the machine with a vacuum cleaner or a damp cloth — remove any grounds that may have fallen beside the container.
- Refit the brew unit — it should click firmly into place. Close the service door.
Monthly tasks — cleaning tablets and the milk system
Once a month (or every 200 brew cycles — the machine will show a reminder) run two automatic cleaning programs:
Coffee circuit cleaning — NICC 705 tablets (or NICT 701)
Cleaning tablets remove coffee-oil deposits from the thermoblock, the pipes and the brew unit. This fat builds up on the inner walls and gradually goes rancid, which gives the coffee a bitter, stale taste.
- Open the "Maintenance" → "Cleaning" menu on the machine display.
- Drop one NICC 705 tablet into the brewing chamber (not into the bean hopper!).
- Place a container under the coffee spout — the cleaning program takes about 15 minutes.
- The machine pumps the cleaning solution through the entire coffee circuit, then rinses it with clean water.
- When it finishes, remove the brew unit and wash it under water.
Important: One cycle needs one NICC 705 tablet. Do not use tablets from other brands — the formula can differ and damage Nivona seals. A pack of NICC 705 contains 10 tablets and costs about 45-55 PLN.
Milk system cleaning — NIRF 701 cleaner
The Spumatore / One Touch milk system has to be cleaned separately with Nivona NIRF 701 liquid cleaner. Milk leaves a protein deposit (biofilm) that creates ideal conditions for Listeria and Staphylococcus bacteria.
- Prepare a container of NIRF 701 solution (15 ml of cleaner per 250 ml of warm water).
- Connect the milk tube to the container of solution.
- Start the milk cleaning program in the "Maintenance" → "Milk system cleaning" menu.
- The machine pumps the solution through the whole milk system — the spout, the tubes and the pump.
- When it finishes, rinse the system with clean water (run the program again with clean water).
A bottle of NIRF 701 (500 ml) is enough for about 30 cleaning cycles and costs about 55-65 PLN.
Every 2-3 months — descaling and the water filter
Descaling is a key maintenance task for the hydraulic circuit of a Nivona coffee machine. Limescale (CaCO₃) builds up in the thermoblock, the pump, the solenoid valves and the pipes, which reduces water flow and lowers the brewing temperature.
Descaling with NIRK 703 tablets or NIRT 700 liquid
Nivona offers two descaling products:
- NIRK 703 — descaling tablets (pack of 3, about 35-45 PLN). Easy to use, with precise dosing.
- NIRT 700 — descaling liquid (500 ml, about 40-50 PLN). It works faster and is recommended for heavy scale.
On Nivona machines descaling is fully automatic. Open the "Maintenance" → "Descaling" menu, place a tablet or pour the liquid into the water tank, and follow the instructions on the display. The whole process takes 25-40 minutes.
How often to descale depends on water hardness:
- Soft water (up to 7°dH) — every 3 months
- Medium-hard water (7-14°dH) — every 2 months
- Hard water (above 14°dH) — every month
In Lodz, average water hardness is 12-16°dH, so descaling should be done every 6-8 weeks. Set the correct water hardness in the machine settings — Nivona will then send reminders at the right time.
Replacing the Claris water filter
The Nivona Claris filter fitted in the water tank reduces water hardness, so less scale forms and the coffee tastes better. Replace the filter every 2 months or after it has filtered 50 liters of water — whichever comes first.
A Claris filter costs about 25-35 PLN. A filter does not remove the need to descale, but it can extend the time between descaling cycles by as much as half.
Annual workshop inspection
Even with regular care at home, it is worth bringing a Nivona coffee machine in for a professional inspection once a year. At AGD Group, the annual Nivona CafeRomatica inspection includes:
- Disassembly and ultrasonic cleaning of the brew unit, solenoid valves and spout
- Thermoblock check — heater resistance measurement, a leak test and an assessment of scale buildup
- ULKA pump check — pressure measurement with a service gauge and a check of the diaphragm
- Grinder check — burr thickness measurement, adjustment and cleaning of the grinding chamber
- Seal replacement — brew unit piston seals, thermoblock seals and solenoid valve O-rings
- Lubrication of all mechanisms — brew unit guides, the drive spindle and the gears
- Firmware update (on Bluetooth models) — if a newer version is available
- Functional test — 5 brew cycles with pressure, temperature and extraction-time measurement
An annual Nivona inspection at AGD Group costs from 150 PLN (parts not included). If worn parts need replacing during the inspection, we always quote the cost before any repair.
The Nivona maintenance kit — what is included
Nivona offers dedicated maintenance products with unique codes. Here is what each one is for:
- NIRK 703 — descaling tablets (3 per pack). Citric acid and extra active ingredients dissolve limescale in the thermoblock, the pump and the pipes. Use every 2-3 months.
- NIRT 700 — descaling liquid (500 ml). An alternative to tablets, especially recommended for heavy scale. One bottle is enough for 4-5 descaling treatments.
- NICC 705 — coffee-circuit cleaning tablets (10 pcs). They remove coffee-oil deposits, oils and resins that build up in the brew unit and the thermoblock. Use monthly.
- NICT 701 — cleaning tablets (older product code, 10 pcs). Works the same way as NICC 705 and appears in older packs and kits.
- NIRF 701 — milk-system cleaning liquid (500 ml). Dissolves protein and fat deposits in the tubes, the Spumatore spout and the milk pump. Use monthly, or more often if you make a lot of milk drinks.
- NISM 001 — food-grade silicone grease for the brew unit guides. Apply it every week when you wash the brew unit.
- Claris filter — a water filter fitted in the tank. Replace every 2 months or every 50 liters.
A full set of maintenance products for a year of use (NIRK 703 × 2, NICC 705 × 1, NIRF 701 × 1, Claris × 6) costs about 280 PLN or more — far less than one serious repair.
The most common Nivona maintenance mistakes
At the AGD Group workshop we regularly see Nivona machines damaged by incorrect maintenance. These are the mistakes users make most often:
- Washing the brew unit in the dishwasher — temperatures above 55°C and harsh detergents warp the plastic parts of the brew unit and destroy the seals. Wash a Nivona brew unit only under lukewarm running water, without dish soap.
- Using vinegar instead of a descaler — vinegar is too aggressive and damages rubber seals, aluminum parts of the thermoblock and the inner coating of the ULKA pump. Always use dedicated Nivona products (NIRK 703 / NIRT 700).
- Lubricating the brew unit with vegetable oils — vegetable oil (olive oil, rapeseed oil) goes rancid at the machine's operating temperature (90°C) and forms a sticky, resinous deposit. The right lubricant is food-grade silicone grease (NISM 001 or an equivalent).
- Ignoring the descaling message — a Nivona machine shows a descaling reminder for a reason. If you put the treatment off for more than 2 weeks, scale builds up in the thermoblock, and in extreme cases the thermoblock needs a costly replacement (from 280 PLN).
- Interrupting the descaling program — if you switch the machine off or pull the plug during descaling, descaling acid stays in the hydraulic circuit and can damage the seals. Let the descaling program finish completely (25-40 minutes).
- Cleaning the milk system too rarely — after 24 hours, leftover milk starts to break down and bacteria begin to grow. The Spumatore milk system needs a rinse after every use and a thorough clean with NIRF 701 every month.
- Not replacing the Claris filter — after 2 months of use the filter loses its ability to soften water and becomes a breeding ground for bacteria. An expired filter is worse than no filter.
Professional inspection at AGD Group
The AGD Group workshop in Lodz provides full service for Nivona CafeRomatica machines of every series — from entry-level NICR 5xx models to flagship NICR 10xx machines. Alongside the annual inspection (from 150 PLN) we also carry out:
- Express professional descaling — ultrasonic cleaning of the thermoblock and the pump, which works much better than descaling at home with tablets. It is worth doing if your home water is hard (above 16°dH) or if the machine was last descaled more than a year ago.
- Seal replacement and lubrication — replacement seals for the Nivona brew unit, plus professional lubrication with silicone grease. This restores a tight seal and smooth brew unit operation.
- Grinder reconditioning — we strip down the grinder, clean coffee residue and oil out of the grinding chamber, and adjust the grind size. The result is a return to the right grind quality.
- Software update — for Bluetooth models (NICR 820, 825, 830, 960, 970, 1030) we install the latest firmware, which can improve stability and add new features.
